OUTSIDE FOOD, BEVERAGES AND ALCOHOL

Outside food and beverages are strictly prohibited inside the convention center.

Additionally, the Irving Convention Center and Texas law strictly prohibit bringing any alcohol inside the building. The convention center actively patrols lookings for offenders. Please DO NOT bring food, beverages or alcohol in to the convention center. Violators will be asked to leave without a refund.

INSURANCE

All exhibitors must provide proof of insurance.

ADDITIONAL VENDOR PASSES-ALL ORDERS DUE BY May 8th

Each vendor will receive two (2) Weekend Vendor Passes regardless of how many spaces were purchased. You may purchase up to four (4) additional passes. Deadline to purchase additional exhibitor passes is May 6 at midnight cst.

EQUIPMENT AND SERVICES

What is included in my booth purchase?

Unless you answered our email asking how many tables and chairs you prefer, then your booth will contain the following.

Each 8′ x 8′ booth includes:

– One 6′ table
– 8′ of pipe and drape.
– Two chairs

Each 10′ x 10′ booth includes:

– One (1) 6′ table
– 10′ of pipe and drape
– Two chairs

PLEASE NOTE: We have updated your chair and table count based on your survey responses. If you responded, you will receive the amount of tables/chairs in your response.

Additional tables/chairs: Superior Expo Services – SES has already sent an email to your address on file. If you need to order additional tables or chairs, this email will have the order instructions. Remember, that your complete set up must fit inside the booth size that you purchase. Please note that the email will be sent to the email address that you registered your booth purchase with.

Electricity and WiFi

Vendor only, shared Wi-Fi will be supplied on a complimentary basis by The Irving Convention Center. Login info- Exhibitor Wifi: ICC Exhibitor Password:  #VisitIrving2023

Dedicated Wi-Fi is available for purchase from the Irving Convention Center.

Electricity is not included in your booth purchase.

Advanced pricing is valid up until May 14th. After this date prices will increase and orders may be placed up until load in day.

LOAD IN / LOAD OUT

Vendor Load In

As we are no longer at a hotel venue, some procedures from previous events have changed for our debut year at the Irving Convention Center.

Vendor load in times:

• Thursday May 21 5pm-10pm – Thursday load-in time is limited. Exhibitors with 4 or more booths will be given priority.

  All exhibitors—regardless of the number of booths—must submit a request using the link below to be considered for Thursday load-in.

  Exhibitors with 3 or fewer booths are not guaranteed a Thursday load-in.

  Please note that time is limited on Thursday, so only a select number of exhibitors will be approved.

• Friday May 22 from 8am to 4pm / All other vendors will load-in at this time.

Please note the load in times must be strictly observed. Vendors will only be able to load in and out during specified times. If you do not load in during these times, then you will forfeit your vendor space without a refund.

All vendors must load in via the Irving Convention Center loading docks located at the rear of the building. Vendors are strictly prohibited from loading in merchandise, equipment, displays and any other items through the front entrance of the convention center.

CHECK IN

We will have staff waiting outside at the loading entrance to check you in. You will receive your Exhibitor wristbands at this time. All exhibitors must wear these wristbands throughout the entire weekend or security will deny you entry. Please follow all instructions by TFW staff and on site security to ensure a safe and efficient load in.

Texas Frightmare Weekend will no longer supply labor or equipment for load in or load out. Be sure to bring your own man power, carts, two wheelers and any other items needed to fully load in/out and set up your booth.

DAILY VENDOR HOURS

Exhibitors will be able to enter the convention center Saturday and Sunday at the following times. You must wear your wristbands for access. Please enter at the convention center doors by the ICC parking garage. Security will be at this door to let you in.

IMPORTANT: KNOW YOUR COMPANY NAME

When checking in at the Irving Convention Center, you must use the business name that you registered your booth with. ICC security will deny you entry if you do not use the correct business name.

Q- How do I find what name I registered with?

A- Search our vendor list for your company name here.

Load out

The exhibitor room will close on Sunday May 19th at 5:00 pm. All vendors must be completely clear of the exhibitor room at 10:00 PM.

PARKING

If you are driving in with a trailer or an oversized vehicle, please fill out the request for below to request a parking space (deadline to submit is May 1st at 6pm cst). Trailer and oversized parking spots are very limited and will not be available for all. First come, first served.

Exhibitor parking in the loading dock area is as follows:

Boneyard / Small Lot – $20 per trailer/oversized vehicle, per day
Dock Bay – $30 per trailer/oversized vehicle, per day

You will fill out a form with security upon entry into the loading dock area and a parking attendant will collect payment. Payment is credit card only.

All other vendors (standard vehicles, no trailers) should park at your hotel’s designated parking facility, the Irving Convention Center or other nearby garages. Please note that all parking in this area starts at approximately $15 per day or more.

SHIPPING

• Shipments may be sent to the advance warehouse up to thirty (30) days prior to Thursday, May 22, 2025. Shipments must arrive by Thursday, May 16,2025, by 3:30 pm. No shipments will be received at the warehouse on weekends or holidays.
• Shipments arriving at the warehouse after Thursday, May 16,2025, will be charged a late warehouse fee of $160 in addition to any other charges incurred.

You have already received an email from the Irving Convention Center/Superior Expo Services (SES) containing the shipping rates, address and shipping instructions and other info. If you are shipping any packages to the event, please note that rates will change if packages are received after their cut off date. Read the email from SES very carefully for important info!

TO EDIT YOUR INFO, simply follow these steps:

Open your “Texas Frightmare Weekend Exhibit Space Order Confirmation” email
Click on the button that says “VIEW YOUR SPACE ORDER ONLINE”
Click on “Begin managing your space now by clicking here”

From there you can update your company’s logo and details. In addition to seeing details about your company and your logo, app users will be able to add exhibitors to their “Favorites” within the app!

So, get your logos and other info set up as soon as possible!
